How to write a recommendation letter that gets read: structure, examples and a fill-in template

Career-advice guides from Indeed, Monster, Workable and others agree on the essentials of a good recommendation letter, and on what sinks a weak one. The advice is consistent: be specific, be concise, and skip the empty adjectives. One guide puts it bluntly, saying that a generic letter is worse than none at all. The Recommendation Letter Template is built around that advice.

How to write a recommendation letter

Start with who you are and how you know the candidate, including how long and in what capacity, such as manager, professor or colleague. Then give two or three strengths, each tied to something the person actually did. Close with a clear statement of how strongly you recommend them and an offer to answer questions. Address the letter to a person or committee where you can, since guides advise against the old "To Whom It May Concern".

Letter of recommendation template, fill in the blank

You supply the facts; the template assembles the letter around them. Enter your name and title, the candidate and their pronouns, what you are recommending them for and your relationship, and the sentences are built for you. The three example boxes are the heart of it: describe the project, the problem and the result, and the letter will carry those details as written.

Job recommendation letter template: length and tone

Most guides put the sweet spot at 300 to 500 words, roughly a page. The counter turns green inside that range, orange when you are a little outside it and red when the letter is very short or very long. Keep the tone warm but professional, and let the examples do the persuading.

Recommendation letter for an employee, with examples

Compare "Alex is hard-working and reliable" with "When our biggest client threatened to leave, Alex led the recovery plan and turned the account around". The second is believable and memorable. The tool highlights stock phrases such as hard-working, reliable and team player so you can swap them for a story, and the printable version comes out as a clean single-page letter.
